What do I do if I have problems with IDTS?
There are a few questions we get from time to time from IDTS users. We've compiled them in a nifty little "how-to" listed below so you know just what to do when you encounter a similar situation at your school.
What do I do when
...I can’t remember my username or password?
If your school has designated an “Admin” user, then talk with that person. He/She can log-in to the IDTS site with his or her admin account and manage all user accounts for your school, including adding, deleting, and changing user accounts. If you do not have an Admin user, then please contact etranscript_support@lists.ous.edu for assistance. Or call 541-737-4726.
...We have had turnover of staff at our school?
Similar to what was said above, your Admin user can delete and add counselors to the database. However, if turnover requires re-training on the system, check out our tutorials online under the training section of this site.
...I forget the college sending codes?
You can find a list of current codes in the box on the right hand side of each page of this site.
...I get an e-mail message saying a transcript has not been received by the college campus?
Each campus has identified the maximum number of days it should take for a transcript to be acknowledged in your log. That number has been programmed into the system. If the acknowledgement is not received within the specified number of days, then an e-mail is automatically generated to let you know. If this occurs, then proceed with the following steps:
- Contact the campus admissions office and confirm whether the transcript was, in fact, received. (In many cases, it was and there was merely a temporary “glitch” in the acknowledgement system.)
- If the campus confirms that no transcript was received, then resend the electronic transcript.
- If this problem occurs repeatedly, then please inform us at etranscript_support@lists.ous.edu.
...I need to find a transcript sent by a colleague?
Use the “Advanced Search” button. You can search by last name, date range, or other options to locate any transcript sent by your school.
...I need to send to a specific department or Honors College?
You will need to send a paper copy of the transcript. Currently, you can't forward transcripts to particular departments.
...I want to send test scores in the transcript?
Currently, it is not possible to include this information in the electronic transcript. Most campuses have moved to using the tape record of scores they receive from College Board and ACT as the official, final score for students. This is a national trend, and not specific to OUS or the IDTS project.
OUS admissions officers agreed that it is not necessary for high schools to include SAT and ACT scores on IDTS transcripts, unless it is already entered in to the local student information system for some other purpose. This will require, however, that students request submission of scores by College Board or by ACT directly to the college. Both tests include 4 free reports sent to colleges or scholarship organizations.
If a student did not make this request at the time he or she took the test, a request can be made later. The College Board charges $9.50 and ACT charges $8 for this additional service. Students can make a request using the following web addresses:

...I want to use the Notes Field in the electronic transcript?
Except in the case of Medford SD and SchoolMaster schools, this feature is merely a place holder for a future release of the IDTS program. Currently, anything you put in that field will not be included in the transcript received by the target institution. If you have special circumstances or need the transcript to be delivered to a particular department, then we recommend the classic route: “snail mail”.
